New tools are tempting. They promise faster workflows, better organisation and sometimes less work. Software should still never be the starting point.

First write down how the task actually happens today. Who does what? Where do people wait? Which information is usually missing? Only then can you see whether you need a tool or a clearer process.

Technology can support good work. It cannot replace a clear decision. Looking closely at the process often saves more time than trying another app.
